Records Management and Archives

àËÅöÊÓƵ records retention policies and procedures

Records Management

Records Management by each àËÅöÊÓƵ Institution is critical to allow ongoing compliance with federal and state law, including the Georgia Records Act (O.C.G.A. 50-18-90 et seq.), and to meet requirements of external entities, such as accrediting bodies. The University System Office Legal Affairs administers the Records Management Program for àËÅöÊÓƵ and provides information and training in conjunction with the Georgia Archives.

Records Retention Schedules have been adopted by the àËÅöÊÓƵ to establish consistent records retention practices. The Records Retention Schedules consist of nearly 300 records schedules organized by function into 15 sections. The schedules are part of Board Policy and state the minimum period of time that each record must be kept. The physical location of records during the retention period and the format in which the records are stored are institutional decisions determined by the resources and needs of each institution.
